Planning your activity

Before you go too far you should work through the whats, wheres, whos and hows of your idea.

  • What is your fundraising idea?
  • Who will be involved? Assign roles and responsibilities.
  • Who can help you? Will you have enough volunteers to help organise and on the day? Who will attend and support the event?
  • How will you reach them to promote it? Is there enough time?
  • What else is happening in the area on your chosen date? Might there be a clash that may affect people attending?
  • Where will it be held?
  • Do you need a licence, council permission or insurance? Please contact your Community Fundraiser for advice.
  • What are the costs involved? Can these be sponsored or who is to pay? When will payment be needed?
  • What income would you expect to gain from the event? How would this measure against costs involved? Consider the level of work required.
  • Will your event involve music performance, dancing or a public raffle? A licence will be needed so please contact your Community Fundraiser.
  • How will you brand the event so that people will know they are supporting RNIB Group of charities?
  • How will the event income be dealt with? Is there a safe storage space at your venue?

Event clearance form

Having worked through the list above you will now need to complete an event clearance form and discuss it with your Community Fundraiser. This will ensure that any necessary licences are applied for and that your event is covered by our insurers. If this form is not completed then your event will not be covered by our insurers.


Budgeting for events

When we are planning events, whether large or small, it is obviously important that the amount raised exceeds the cost of running the event, otherwise it will not generate much needed funds for RNIB Group of charities. Our budgeting guide will help to make sure you raise as much as you can from your events.


Risk assessment

No event can be completely risk free, however, we need to show that we have considered risks and have put in place measures to limit injury or damage. You'll find all the information you need in our guide to completing risk assessments. Your Community Fundraiser can also offer support.


Fundraising materials

We can provide you with fundraising materials to support your fundraising, such as posters, banners and collection buckets. You will find a full list of materials on the materials order form. If you can't find what you're looking for please contact your Community Fundraiser.


Don't forget to say thank you

It's really important to remember to thank everyone that has helped your group with its fundraising. If our supporters feel appreciated and know how much their support has helped blind and partially sighted people they will be more likely to support us again in the future.


Post event form

Debrief and evaluation is crucial to understanding the successes and costs of your event and how it could be improved next time.
